The Eastern Denmark Film Fund's policy for processing personal data

When you apply for project support, use our website, or write to us, the Eastern Denmark Film Fund registers and processes information about you.

The Eastern Denmark Film Fund is obliged to inform you that we process your personal data. You have the right to be informed of the Eastern Denmark Film Fund's contact details, why we process your personal data and the legal basis for doing so, and who may receive your personal data.

Who receives your personal data

The Eastern Denmark Film Fund discloses information to other public authorities, private companies, etc., who have a legal right to the information or collaborate with the Eastern Denmark Film Fund. If we use data processors, we entrust your personal data to them, as they process personal data on our behalf.

If we receive a request for access to documents in a case involving your personal data, we are normally required to disclose the information, unless it is confidential.

Some of the information we hold about you is used for management information and statistics. We do this, among other things, to monitor developments in Danish film. When we use your data for these purposes, the information about you is pseudonymized.

How long we store your personal data

Personal data is deleted when we no longer need it for case processing or are no longer obliged to store it.

When you contact the Eastern Denmark Film Fund

When you write to the Eastern Denmark Film Fund via email or similar means, the Eastern Denmark Film Fund registers the personal data about you that appears in the email. This may include, for example, your name, email address, or similar information. This occurs because the Eastern Denmark Film Fund is generally obliged to document case processing.

The legal basis for processing personal data is found in Article 6, paragraph 1, letter e of the General Data Protection Regulation (processing of personal data in the public interest or in the exercise of official authority).

When you apply to the Eastern Denmark Film Fund for project support

When you apply to the Eastern Denmark Film Fund for project support, the Eastern Denmark Film Fund registers personal data about you and, as a general rule, also about your collaborators or others involved in the project. We register the personal data necessary to process and evaluate the application.

The legal basis for the processing of personal data can be found in the Film Act and Article 6(1)(e) of the General Data Protection Regulation (processing of personal data in the public interest or in the exercise of official authority).

When you use our website

Social Media

The Eastern Denmark Film Fund manages several social media pages. As the administrator of these pages, the Eastern Denmark Film Fund allows third parties such as Facebook, Instagram, LinkedIn, or X to place cookies on the user's computer or any other medium when they visit the pages, regardless of whether this person has an account on the respective social media. Your Rights

When The Eastern Denmark Film Fund processes your personal data, you have certain rights that you can exercise.

  • Access to your personal data
  • Rectification or erasure of your personal data
  • To have the processing of your personal data restricted
  • To object to the processing of your personal data

Right of Access

You have the right to access the personal data we have registered about you. You have the right to receive a copy of the personal data we have registered about you, along with the following information:

  • What personal data about you is included in the processing
  • What is the purpose of processing your data
  • Who receives your personal data
  • Where the data originates from
  • How long we store your personal data
  • That you have the right to request from us
  • To have your personal data rectified or erased
  • To have the processing of your personal data restricted
  • To gain insight into the processing of your personal data
  • That you have the option to complain to the Danish Data Protection Agency

Erasure and Rectification

You can request to have your personal data erased or rectified if, for example, you wish to have them removed or believe they are incorrect. If you request to have your personal data erased or rectified, their processing must be restricted until we have decided whether we can comply with your request. In such a case, we will inform you about the restriction. Similarly, we must inform you before we lift the restriction again.

The right to erasure will only be applicable to a very limited extent against the Eastern Denmark Film Fund, as we generally must be able to document our entire case process.

Therefore, in most cases where we receive a request for erasure, we will end up rectifying the data instead. However, there may be situations where we comply with the request for erasure. This applies, for example, if you request to be unsubscribed from a newsletter. If personal data that we have previously disclosed to others is erased or rectified, we must inform them of the changes, unless it is impossible or involves disproportionate effort.

Restriction

We will restrict the processing of your personal data in cases where we are obliged to do so. This restriction means that your data will not be subject to any processing other than storage.
We will impose a restriction if

  • You dispute the accuracy of your personal data. The restriction will only cease once we have determined the accuracy of the data,
  • you object to the processing. The restriction will only cease once we have determined whether the Eastern Denmark Film Fund's legitimate needs and considerations outweigh your legitimate needs and considerations,
  • We no longer need to process your personal data but are required to retain them for legal reasons.

Objection

In certain cases, you have the right to object to our processing of your personal data. You can read more about the right to object here: The Danish Data Protection Agency's guidance on data subjects' rights
